Documents for selling on Russian marketplaces Ozon, Wildberries and Yandex Market

Manufacturers who used to sell to Russian distributors increasingly sell to Russian customers directly, and the marketplaces are where that happens. The rules of entry are simpler than the export route in one respect and harsher in another: nobody negotiates with you, and nobody explains. The platform requests a document, the card is blocked until it arrives, and the goods sit in the warehouse earning storage charges.

All three platforms verify the document you upload against the state register of the Federal Accreditation Service, by number, automatically. That single fact decides most of what follows. A certificate bought cheaply from an intermediary who never asked for samples fails at the moment of upload, and the seller finds out after the goods have already arrived.

What the marketplaces check

The requirements are set by law rather than by the platforms, so the substance is the same on all three. What differs is the moment they ask and how hard they push.

  • The document must exist in the state register. Verification is by number, and it is automatic.
  • It must cover your goods. The product description and model designations in the register entry have to match the card and the packaging. A document for a neighbouring model does not do.
  • It must be valid. Suspended and expired documents stay visible in the register with that status attached.
  • You must be entitled to use it. If someone else registered it, see the section below.
  • Labelling comes on top. For a growing list of categories the goods also need Chestny Znak codes, which is a separate requirement from certification.

Ozon, Wildberries and Yandex Market: what differs

Ozon asks for documents at moderation for regulated categories and can request them at any point afterwards. Documents are uploaded in the seller account and attached to the product card. Missing or mismatched documents mean the card is not published, or is hidden after a check.

Wildberries applies the same logic, with checks that have tightened considerably: documents are requested for regulated categories, and non-compliance leads to blocked cards and penalties under the platform's own rules rather than only to state fines. Categories such as cosmetics, personal hygiene products and children's goods get particular attention.

Yandex Market requires the same set of documents and checks them against the register in the same way. Documents live in the seller account and are attached to the offer.

One condition applies before any of this: the seller has to be a legal entity or an individual entrepreneur registered in Russia. Foreign companies do not sell on these platforms in their own name. When your product needs no certificate at all

A large share of goods sold online falls outside every technical regulation, and for those no certificate exists to be obtained. What the platform accepts instead is an exemption letter — a conclusion from a certification body confirming that mandatory assessment does not apply. Using a document someone else registered

Sellers are rarely the applicant named in the document. Usually the declaration belongs to the importer, sometimes to the manufacturer's representative, and the seller trades under it. That is lawful, and it has conditions.

The document has to cover the goods you actually sell, and you need the holder's permission to use it, normally a letter from the applicant together with a copy of the document. The chain from the registered document to the goods in your warehouse must be traceable, because that is what an inspection reconstructs.

The arrangement breaks in a predictable way. You change supplier, the new factory is not the manufacturer named in the declaration, the card keeps selling, and the mismatch surfaces at a check. This is the most common failure we see among sellers importing from several factories, and it is the practical argument for holding a document in your own name rather than borrowing one.

Chestny Znak: the layer sellers discover late

Mandatory digital labelling is separate from certification and additional to it. Goods in the covered categories carry a Data Matrix code, and every movement is recorded in the national system. Clothing and light industry goods, footwear, perfume, tyres, packaged water, dairy, food supplements, antiseptics and medical devices are already in scope, and the list keeps expanding.

For a seller the consequence is blunt: unlabelled goods in a covered category cannot be sold on the platforms, and a certificate does not substitute for a code. Registration in the system, ordering codes and applying them to the product are separate steps, and we handle them alongside the conformity documents.

How long it takes

An exemption letter is a matter of days, since it requires analysis rather than testing. A declaration or certificate depends on the test programme: for simple products, two to three weeks from the arrival of samples. Chestny Znak registration runs in parallel and does not extend the conformity work.

If a card is already blocked, the sequence matters. FAQ

Can a Chinese company sell on Ozon or Wildberries directly?

Do we need a separate document for every model?

No. Models of the same design differing in size, colour or capacity are usually grouped into one document as a product family. Where the differences affect safety, the group is split.

Our supplier gave us their declaration. Is that enough?

Only if it covers the goods you actually sell and you hold the applicant's permission to use it. Check that the manufacturer named in the document is the factory that made your batch, since this is where most problems start.

What if our category has no technical regulation?

Does Chestny Znak apply to us?

How fast can a blocked card be reopened?

If an exemption letter is the answer, days. If testing is required, two to three weeks after samples arrive. The first step is identifying what the platform is actually demanding, which we do free of charge.
